Context

The challenge was not access. It was usable adoption.

Red Bull Romania began adoption with a practical question: where can Microsoft 365 Copilot change daily work, not only demonstrate tool features?

The process started with an assessment of the local Romanian context and group-level expectations, followed by license activation and two hands-on training groups for top management, managers and department representatives.

The early data showed a pattern many Microsoft 365 customers face. People are curious, and some already use AI, but adoption remains fragmented until use cases, data boundaries and team habits are made explicit.

01
Assess current AI usage, comfort, blockers and first use cases.
02
Activate Copilot in the Microsoft 365 environment with safe-use guidance.
03
Train leaders, managers and department representatives on practical work.
04
Use measured adoption signals to decide the next scale path.

Documented blockers before training

Not knowing where to start.
Not having examples that match the participant’s role.
Unclear choice between Copilot and other AI tools.
No shared team way of working yet.
Uncertainty about which company data can be used.
Adoption signal
Once blockers were named, the program could move from generic curiosity to specific, repeatable work patterns.

Approach

Assessment, activation and role-based practice.

Design principle

The program was designed by IT Assist around secure activation, real work and measurable adoption signals.

Phase 01
Assess current usage

Participants mapped AI frequency, comfort, blockers and first use cases before the session. This gave the training a concrete baseline.

Phase 02
Activate Copilot safely

Copilot was connected to the Microsoft 365 environment with clear guidance on secure use, data boundaries and verification.

Phase 03
Train on real work

Two hands-on groups worked through analysis, recurring documents, meeting preparation, presentations, reconciliations and cross-team explanations.

Bogdan Dodu, CEO IT Assist

Copilot adoption only creates value when it becomes part of daily work. This project showed how quickly teams can move from curiosity to practical, repeatable use.

Bogdan Dodu
CEO, IT Assist

For IT Assist, successful Microsoft 365 Copilot adoption starts with secure activation, but it does not stop there. The real value appears when employees understand where Copilot fits in their daily work, what data they can safely use, how outputs should be checked and which use cases are worth repeating across teams.

IT Assist roles

Assessment, Microsoft 365 Copilot activation, licensing guidance, tenant context, governance boundaries, secure-use guidance, hands-on training, adoption measurement, rollout planning and technical support.

03
Measured results

The first adoption signals were strong enough to standardize.

Results were consolidated across both groups: 15 onboarding responses, 14 final feedback responses and 14 matched participants with both baseline and final data.

Use case portfolio

Six repeatable work patterns surfaced from daily tasks.

The portfolio below consolidates the strongest participant examples into reusable Copilot use case types that can be repeated across teams.

1
Excel and table analysis

Analyze periodic datasets, identify movements and prepare first explanations for review.

2
Recurring reports

Prepare monthly reporting narratives, including explanations for variations against target or previous periods.

3
Presentations and meeting materials

Structure meeting decks, summarize inputs and prepare key points before team or partner discussions.

4
Onboarding outside Finance

Turn Finance processes and terminology into clearer onboarding material for colleagues in other roles.

5
Reconciliation and information checks

Compare information, check inconsistencies and prepare clearer follow-up notes.

6
Email and team communication

Prepare clearer messages that explain technical or financial content in the right tone.

Repeatability layerThe next commercial move is to turn these six patterns into reusable prompts, templates and manager-ready examples.
05
Executive signal

For the Finance Manager, Copilot became a concrete work product.

More than 2 hours per week for this use case.

One executive use case made the adoption concrete: using Copilot to prepare clearer onboarding material for colleagues who need Finance explained in practical language.

The first thing I will do is create a new onboarding material for new colleagues outside Finance.

Camelia S., Finance Manager, Red Bull Romania

In a follow-up message after the training, Camelia also captured the adoption signal that matters most: the team had already started exploring Copilot beyond the session itself.

Thank you again for last week’s extremely interesting training. We had a wonderful experience, and the know-how you shared with the team is invaluable. My colleagues are already competing to discover as many M365 Copilot capabilities as possible.

Scale path

Adoption has started. Scaling comes next.

IT Assist helps organizations move from license activation to secure, role-based Copilot adoption with measurable usage signals and a practical scale plan.

1. Standardize the first use cases. Build a reusable prompt and template library for analysis, reports, meeting materials, onboarding explanations and reconciliations.
2. Track adoption for 4 to 6 weeks. Measure weekly use, time saved, blockers, useful outputs and support needs before scaling further.
3. Add governance boundaries. Clarify which data can be used, how outputs are checked and when Copilot is the right tool.
4. Scale team by team. Extend training after the first use cases are stable, documented and safe to repeat.

Start with one team

Assess current usage, activate Copilot safely, train on real tasks and measure the first adoption signals.
